Inventory every relevant seller account

List active, inactive, regional, test and historical accounts connected to the owners, directors, employees and service providers. Include creation dates, marketplaces, legal entities, primary users and current status. An incomplete map makes it difficult to explain a relationship accurately.

Do not close or alter accounts simply to make the map look cleaner. Preserve the record first and follow the options stated in the notice.

Map the observable connections

For each overlap, record whether it is current, historical, authorized, accidental or unexplained. Gather contracts, corporate records and access logs that support legitimate relationships.

• Owners, directors, employees and authorized account users
• Addresses, telephone numbers, bank accounts and payment cards
• Devices, networks, warehouses and fulfillment partners
• Email domains, agencies, virtual assistants and software access
• Shared suppliers, brands, listings or inventory

Identify the operational root cause

The immediate concern may arise from an undisclosed second business, a former employee, agency access, acquired company, household connection or reused infrastructure. Determine what actually occurred and which control failed.

Corrective actions should address that cause: separate permissions, revoke former users, document acquisitions, retire unauthorized access or consolidate processes where policy and the notice allow it.

Write a relationship-led appeal

State the accounts and relationship directly, explain the legitimate purpose where one exists, acknowledge any control failure and attach evidence by exhibit number. Keep dates and entity names consistent across the narrative and documents.
